Keep secrets out of notes
Notes can be seen by everyone in your account. Don't put alarm codes, key-safe codes or passwords in them.
Your list of properties
The Properties page shows each property's address, type, postcode, occupier and number of open issues. A property with nobody recorded as living there shows Vacant. Choose any row to open that property.
The property page
Each property has its own page with everything about it in one place:
- Issues: every issue logged at the property, open and resolved. Choose one to open it.
- Documents: certificates, agreements and other paperwork for the property.
- Details: the town, postcode, type and notes.
- Occupiers: who lives there, with their contact details and tenancy dates.
The buttons at the top are ← All properties, Edit details, Log issue here and, for landlords, Delete property.
Editing a property
- Open the property.
- Choose Edit details.
- Make your changes and choose Save changes.
Every change is recorded in the History, so you can always see what an address or note said before.
Occupiers
The people living in a property are listed on its page as occupiers. On an issue, the same person appears in the Tenant field.
Adding an occupier
- Open the property.
- In the Occupiers panel, choose Add.
- Enter their Name (the only required box) and anything else you'd like: Phone, Email, Tenancy start, Tenancy end and Notes about the occupier.
- Choose Add occupier.
When you log a new issue at the property, the occupier's name is filled in for you. If more than one person is listed, the first is used. You can change it on the issue.
Editing or removing an occupier
- To update someone's details, choose Edit on their card, then Save.
- To remove someone who has moved out, choose Remove on their card. Landlord Their name stays on any issues already logged, so your records still make sense.
Occupiers' details are personal data
Keep notes factual and relevant to managing the property, such as "Prefers texts. Works shifts, so avoid morning calls." The occupier could ask to see what you've recorded about them.
Adding documents to a property
Paperwork that belongs to the property rather than to a single repair lives under Documents. For example:
- tenancy agreements and inventories
- gas safety certificates, EPCs and electrical reports (EICRs)
- insurance documents, plans and warranties
- Open the property.
- In the Documents panel, choose Add documents, or drag files onto the box that says
Drag documents here
. - Add a short description for each file, such as "Gas safety certificate 2026", then choose Upload.
You can upload PDFs, photos, and Word and Excel files, up to 15 MB each. There's more detail in Photos and documents.
Logging an issue at a property
On the property page, choose Log issue here. The new issue form opens with the property already chosen. See Logging an issue.
Deleting a property
Only landlords can delete a property. Landlord
- Open the property and choose Delete property.
- Confirm when asked.
The property disappears from your lists, but nothing is lost. Its issues stay in the record, the History keeps every change, and the property can be restored.
