At a glance
- Go to Team and choose Add a user to create an invitation link for one email address.
- You send the link yourself. LetResolve doesn't email it for you.
- Links last 7 days and work only for the address you entered.
- You can revoke access at any time. The person's name stays on everything they did.
Roles: Landlord and User
Everyone in your account has one of two roles.
| What they can do | Landlord | User |
|---|---|---|
| See all properties, issues and reports | ||
| Add and edit properties, occupiers and issues | ||
| Add photos and documents, and mark issues resolved | ||
| Delete issues, properties, occupiers and files | — | |
| Invite people and manage their access | — | |
| See the History (audit log) | — | |
| Use Ask LetResolve | — |
- Users can see and edit all of your properties. It isn't currently possible to limit someone to particular properties.
- Nobody in your account can ever see another landlord's data, and nobody outside it can see yours.
- Need a second landlord on your account, such as a joint owner? Contact us. We add landlords ourselves, so the most powerful role stays in as few hands as possible.
Adding a user
- Choose Team in the menu. It's under Landlord only.
- Choose Add a user.
- Enter the person's email address and choose Create invitation.
- The Send this invitation window shows their link. Choose Email it to open your own email with a message already written, or Copy link to send it another way, such as by text or WhatsApp.
- Choose Done.
Remember to send it
LetResolve doesn't send the invitation for you. If you close the window without sending the link, nothing reaches them. You can copy it again from Pending invitations.
What your new user does
You might like to forward these steps with the link:
- Open the invitation link.
- Sign in with the email address the invitation was sent to. Microsoft emails a one-time code, and there's no password.
- Check the name of the account they're joining and choose Accept invitation.
- They're taken straight to the dashboard.
- The link only works for that one email address. Signing in with any other address is refused, so a forwarded link gives nothing away.
- Each email address belongs to one landlord account. If the person already uses LetResolve with another landlord, they'll see a message explaining why the invitation can't be accepted. They can use a different email address, or ask us.
Pending invitations
Invitations that haven't been accepted yet are listed under Pending invitations, with the email address, when each was sent and when it expires.
- Copy link copies the link again, so you can resend it.
- Cancel stops the link working.
- An invitation that's older than 7 days shows Expired. Choose Add a user again with the same address to create a new link.
- Lost a link? Create the invitation again. The new link replaces the old one, which stops working.
Revoking someone's access
- Choose Team in the menu.
- Find the person and choose Manage.
- Set Access to Revoked and choose Save.
Revoking takes effect the next time they try to do anything. Their name stays on everything they did, so your records and History remain complete. To let them back in, do the same again but choose Active.
You can't revoke your own access.
Keeping track of your team
- The Team page shows each person's role, whether their access is Active or Revoked, and when they were last seen.
- The History shows exactly what each person has changed, and when.
- The Activity by person report shows who has been keeping the log up to date.
Good practice
- Invite each person with their own email address. Never share your own sign-in.
- Revoke access as soon as someone stops working with you, such as when you change letting agent.
- Look over the Team page every few months to check that only the right people have access.
